One missing a few key items turns into a round of phone tag that costs everyone a day. Here is the short version of what to include so your quote comes back fast.
For each line or system, we are looking for a handful of things. The material or the spec reference, so we know whether it is cal-sil, fiberglass, rock wool, Foamglas, or something else, and to what standard. The pipe sizes and the linear footage per size. The fitting and valve counts, because elbows, tees, and valves take fitting covers and blankets that add up. The thickness, or if you do not have it, the operating temperature so we can work from the thickness table. The jacket type and gauge. And the jobsite plus the needed-by date, so we can check the right branch stock and set delivery. That is the whole list. Hit those and there is nothing left for us to chase.
A few gaps cause most delays. No thickness and no temperature, so we cannot size the material. Fitting counts left off, so the quote is short and gets redone. Material called out by a brand name we have to cross-reference to a stock equivalent. And no needed-by date, so we cannot tell whether it ships from stock or needs a direct-ship. None of these are dealbreakers. They just turn a same-day quote into a two-day one.
Do not sit on a takeoff waiting to make it perfect. A rough one we can price in part beats a perfect one that shows up after the bid is due. Send what you have, mark what is open, and we price what is solid and ask about the rest. Often we can get you budget numbers immediately and firm them up as the details land.
